Tricom provides Key from Image Services to multiple clients from the United States, Canada and the United Kingdom for a variety of forms, such as Health Claim Forms, Traffic Citations, Rebate Coupons, Wage Sheets, Airline Bills, etc.

For each project, Tricom assigns a Project Manager who interacts with the client to understand the project specifications and business rules, and who raises and resolves queries. After specifications and business rules have been understood, the Project Manager prepares a Project Plan and initiates development of the required S/W.

For all projects executed, Tricom uses its Proprietary S/W, developed by the In-House Systems Development Team. After the Systems have been tested, Tricom provides sample output to the client for review. Once the client approves the sample output, the project goes live as per the client’s schedules.

Tricom also provides its clients secured and dedicated FTP logins and passwords so that they can upload their images. Alternatively, Tricom can download images from the client’s FTP site.

Tricom assures its clients 99.995% accuracy. To achieve this, two different operators each capture data from the image. A Compare Operator compares the two data files generated by this double capture. This eliminates keying errors. If one image generates more than one record, before commencing compare a process of balancing is carried out. This process verifies that for every image the total number of records/images coded by each Pass Operator is the same. This ensures that all records have been captured. A domain-specific quality team performs quality checks on the compared files, wherein the checks for field-wise business rules and data integrity are performed.

Traffic Citations
Everyday, several thousand traffic tickets are issued by the police. These tickets have handwritten information that needs to be converted into electronic format.

Over 1.5 GB of images are downloaded in 3-4 hours; 10,000 to 12,000 documents containing nearly 60 fields, are processed with 99.5% accuracy and turned around within 12-18 hours while following 30 different business rules for validity of capture.

The procedures followed here are:
1. Smaller zips are prepared so that downloading is done in parts and work can be commenced within minutes of upload of the images on client site.
2. 60 fields per form are divided into four phases, namely, Violator related fields, Vehicle related fields, Place (Occurrence) related fields and the rest of the fields.

These four groups of fields are entered by four different sets of operators. Turnaround time and accuracy level requirements are achieved as a result.

Coupons Processing
Every major store or company offers rebates on purchases in the form of coupons for future purchases. They also offer preferred saving cards, the volume of which runs into millions. All of these forms contain handwritten information which needs to be keyed.

Tricom currently processes approximately 60,000 coupons / rebates on a daily basis. This involves keying of fields such as First and Last Name, Address, Telephone No., Date, etc. Scanned images of coupons / rebates are sent via FTP on a daily basis and the output is turned around in 18-24 hours. Tricom has developed proprietary software for keying of these documents. Entry-level validations are created to maintain accuracy. An Enter-Enter-Compare approach is used to achieve 99.95% accuracy. Additionally, Tricom has its own database of unique first and last names for spell check purposes.

Health Care Forms Processing
This sector primarily entails data entry of insurance claim forms such as HCFA 1500, UB-92 and Dental. These forms range from one page to several pages and have certain key fields which are important for claims processing and needs to be keyed.

Tricom currently performs data entry of approximately 10,000 – 12,000 formsdaily. The total volume is a mix of HCFA, UB-92 and Dental forms. These forms are scanned and sent via FTP to Tricom. Tricom has developed proprietary data entry software for these forms. The operator uses the tab key to move from one field to another with the field on the form image being automatically highlighted. Each form contains some 20 fields to be captured. These fields vary from Yes / No to a detailed text field.
